Group travel advice
A school visit plan might focus on activities, group organisation and the destination. A coach quotation needs the transport details within that plan: who is travelling, where the group will be collected and which journeys you want the coach to make.

Describe the transport within the school day
Start with the school or college name, the organiser’s contact details and the travel date. Give the full collection address and destination, then set out the requested outward and return pickup times. This creates a clear starting point for the team reviewing your enquiry.
Count everyone who will travel
Provide the exact total passenger number, including all pupils, students, teachers and other accompanying adults. A pupil count on its own does not describe the full group. If different groups use the transport during the day, give the exact total for each movement so those differences are visible.
Larger groups can request a quotation involving more than one coach, subject to availability and confirmation. Explain the passenger requirement without assuming a particular pictured vehicle is reserved for the visit. Details about the group and journey help Advanced Travel assess a suitable arrangement.
Explain any journeys during the visit
Some enquiries involve an outward trip and a return collection. Others also need transport between visit locations. If your plan includes another venue or collection point, describe that movement and its requested pickup time in the same enquiry.
Activity or venue session times may help explain the day, but keep them separate from transport pickup times. Advanced Travel confirms pickup times and does not promise arrival times. A session booking is not itself an agreement about when the coach will arrive.
Include bags, activity equipment, bulky items and relevant practical access requirements. If the destination has supplied information about coach access or a proposed collection point, pass that on for the team to review.
Keep one clear version of the arrangements
Our School & College Trips page explains the service. When you are ready, request a school trip coach quote using the exact passenger numbers and proposed journeys.
The team assesses your enquiry and availability before preparing a quotation. Sending the form does not confirm a booking. Follow the instructions in the quote and wait for Advanced Travel’s confirmation before treating the transport as agreed.
If the school later changes the passenger count, destination, equipment or pickup arrangements, email the team with the revised details. Wait for confirmation before circulating an updated transport plan. This keeps the organiser’s instructions aligned with the arrangements Advanced Travel has actually agreed.
