Group travel advice
A recurring staff transport enquiry can involve different passenger groups, pickup points and working days. A weekly headcount alone cannot show which transport is needed at a particular time. Describe each requested movement so the team can understand the pattern you want it to assess.

Begin with each movement
Give the workplace address and proposed pickup locations, followed by the operating days, requested pickup time and exact passenger number for each movement. If the evening group differs from the morning group, show both counts. Do the same where requirements vary between weekdays and weekends.
Separate shift information from pickup requests
Shift start and finish times can explain the working pattern. Label them as background information and give the requested transport pickup times separately. Advanced Travel confirms pickup times and does not promise arrival times. Including a shift start does not create a promise that employees will arrive by that time.
For an overnight pattern, identify the day and date of each pickup clearly. A movement after midnight belongs to a new calendar day. Stating that explicitly helps distinguish the transport request from a shift that began the previous evening.
Pre-booked coach and minibus travel operates 24 hours a day, 365 days a year, subject to availability and confirmation. Include early, late or overnight movements in the proposed requirement for review.
Explain the period and practical requirements
State the proposed start date and duration, together with any known differences in the working pattern. Include the employer or agency name and a contact who can discuss the request and receive the quotation. This article concerns recurring employee transport; a single meeting or staff event can instead be described through our Corporate Travel & Events service.
Tell us about relevant practical access requirements and equipment passengers need to carry. Exact counts are needed for every movement; include everyone travelling. For larger groups, multiple-coach quotations are available, subject to availability and confirmation.
Treat later changes as requests
Read about staff transport enquiries, then send the proposed movements for a quote. Advanced Travel reviews the requirements and availability before quoting. An enquiry does not establish a recurring service or confirm a booking; follow the quotation instructions and wait for the team’s confirmation.
If working days, stops, passenger numbers or requested pickup times later change, email the revised details to the team. Wait for confirmation before treating the new pattern as agreed. Keep the confirmed version available to the person coordinating workplace transport.
