Group travel advice

A day out with friends, family or a club starts with an idea. The next step is bringing the group’s transport arrangements together: who is travelling, where you will be picked up and what you need to take.

Private coach or minibus hire lets your group travel together on its own journey. Here are a few types of day out to consider, followed by the details to prepare before requesting a quote.

Ideas for your next group outing

A day at the coast

A seaside visit can give your group time for a walk, lunch or exploring a coastal town. Agree on your destination and activities before requesting transport, and consider the needs of everyone travelling when planning the day.

A city visit

A city day out might include shopping, sightseeing, a museum or a meal together. Decide whether the group will stay together throughout the visit and agree a clear meeting point for the return pickup.

Gardens, museums and attractions

An attraction can provide a focus for a club outing or family trip. Check admission arrangements directly with the venue, especially if your group needs tickets, a group reservation or particular access arrangements. Include any relevant venue information with your transport enquiry.

Concerts, race days and sporting events

An event gives the group a shared reason to travel. Keep ticket arrangements separate from the transport enquiry, and include the event details when you contact us. Event times help explain your plans; they are not an agreed or guaranteed coach arrival time.

These are ideas for your own private outing, not advertised package tours or scheduled departures. Arrange admission and other activities separately unless something else has been expressly agreed.

Confirm who is travelling

Before requesting a quote, establish the exact number of passengers. Include every child and accompanying adult, not just the main members of the group.

The passenger number helps us assess suitable vehicle capacity. If the number changes after your enquiry or booking, email us and wait for confirmation. Do not assume an extra passenger can be accommodated or that the same vehicle or quotation will remain suitable.

Set out the pickup arrangements

Provide the outbound pickup date, time and address, together with the destination. If you need a return journey, include its pickup date, time and meeting point too. Make every additional pickup or drop-off clear in your enquiry.

We confirm pickup times, not arrival times. Allow for possible traffic and other delays when deciding the pickup time you request, particularly when your day includes an event or other time-sensitive activity.

Tell us what the group needs to take

Include luggage, equipment and practical access requirements when requesting your quote. Passenger capacity and space for belongings are different considerations, so seat numbers alone do not tell us everything about your journey.

Tell us your passenger number and travel requirements, and we’ll arrange a suitable coach or minibus for your journey.

Request your private-hire quote

Our Days Out & Tours page explains the service. Share your contact details, exact passenger number, locations, luggage and requested outward and return pickups when asking for a quote.

We will review your details and availability, then respond with a quotation or any questions needed to prepare one. Sending an enquiry does not reserve a vehicle or confirm a booking.

Request a coach or minibus hire quote or call 01709 306303.

Once your booking is confirmed, check the arrangements before sharing pickup details with the group. Request any changes by email for our review and confirmation. You can also read our Terms & Conditions of Carriage.
