An airport transfer enquiry brings together two sets of details: the group’s flights and the coach journey you want to arrange. Keeping them separate makes the request easier to understand, especially when you need travel to the airport and a later return collection.

Start with the journey your group needs

Begin with the exact number of passengers, including every child and accompanying adult. Give the collection address and airport for the outward journey, then describe the return journey separately. If people join at different locations, include each proposed pickup point. Avoid assuming that an extra stop is covered by a request for one collection address.

Give flight details as background information

Include the airport, terminal, flight number and flight date and time if known. Then provide the requested coach pickup date and time in the transport fields. A flight departure or landing time should not be entered as though it were your coach pickup time.

Advanced Travel confirms pickup times and does not promise arrival times. Flight information helps explain your plans; it does not establish a guaranteed airport arrival or an agreed collection time. For a return journey, make clear which date and pickup time you are requesting, particularly when your flight and road journey fall on different calendar days.

Describe the luggage as well as the group

An exact passenger count is only part of the request. Tell us about suitcases, hand luggage, pushchairs, sports equipment or other bulky items, together with any practical access requirements. This gives the team information to assess the transport requirement alongside seat numbers.
